Once a portal is built, there are two ways to get it in front of people — and the one you choose changes how submissions get matched to your book.
The two kinds of links
Static (public) link — one link anyone can use. AdvantaCRM tries to match each submission to an existing profile in your book. Best for events, mailers, your website, or a QR code where you don't know in advance who's filling it out.
Personalized link — generated from a specific client's profile and tied to that client. No matching needed; the submission always applies to them, and their info can be pre-filled. Best for someone already in your book.
Rule of thumb: known person → personalized link; unknown audience → static link.
Getting the static link (and QR code)
On the Your Portals list, click the ⋯ menu on a portal and choose Get Link.
This opens the Portal Link dialog with your Static Portal URL (click Copy) and a QR Code you can Download QR to print or drop into slides and flyers.
Anyone with this link can open the portal — no login required.
Sending a personalized link
Open the client's profile, then use Send portal link from the Actions menu. Their existing information is pre-filled so they don't start from scratch.

Managing a portal
The ⋯ menu on each portal also lets you:
Edit — reopen the builder to change any setting, field, or branding.
Preview — see the portal exactly as a client would.
Disable — take the portal offline without deleting it (visitors see an "unavailable" message). Re-enable anytime.
Delete — permanently remove the portal.
A note on personalized link settings
Two settings from the portal builder control how personalized links behave: Token Link Expiry (default 30 days) and Invalidate Token After Use (one-time use). Adjust these in the portal's Edit screen if you want links that expire sooner or can only be opened once.
