Managing Notifications & Alerts

The Notifications page is where you set your timezone and decide which email alerts AdvantaCRM sends you. All alert emails come from [email protected].

Tip: Add [email protected] to your contacts or safe-sender list so your alerts don't land in spam.

Getting there

From the left sidebar, click Settings, then choose Notifications from the settings menu.

Unlike some other settings pages, there's no save button here — your changes take effect as soon as you make them. The one exception is your mobile number, which needs a quick confirmation step (more on that below).


Timezone

Set your Timezone from the dropdown. This determines when time-based emails and texts actually go out — it's used for alert reminder emails, SMS timestamps, and daily date-based automations. Keeping it accurate is what makes a "9 AM" reminder arrive at 9 AM your time.


Email

Operational emails come from [email protected].

Alert reminders

When on, AdvantaCRM emails you at the exact date and time you set for each alert. Once the email sends, that alert auto-resolves so you're not left clearing it manually. Toggle this off to stop alert reminder emails.

Turning 65 alerts

When on, you'll get milestone emails as each client approaches Medicare eligibility — at 3 months, 2 months, and 1 month before their 65th birthday. These are your heads-up to start the conversation in time. Toggle off if you'd rather track aging-in another way.


SMS

Operational texts come from (937) 900-9780.

Turning on SMS alerts

  1. Toggle SMS alerts on.

  2. In the Confirm your mobile number dialog, confirm or update the number you want texts sent to.

  3. Click Confirm & enable. You'll get a confirmation text from (937) 900-9780.

Save that number as a contact when the confirmation text arrives, so you recognize future alerts.

Once enabled, the card shows your mobile number (pre-filled from your profile phone when available) with a Save number button if you ever need to update it.

Advanced settings

Expand Advanced settings to choose exactly which texts you get, independent of each other:

  • Leads & reassignment — lead assignments, reassignment reminders, declines, agency leads, and follow-up due dates.

  • Portal submissions — new portal submissions and submissions that need manual client matching.

  • SOA countersign — when a client signs an SOA and your countersignature is needed.

  • Alert reminders — when an alert you created reaches its due date and time.

  • Billing updates — subscription or billing status changes for your account.

  • Integration sync — new coverage synced from connected integrations (e.g. HealthSherpa).

Turning off SMS alerts at the top stops all texts; the categories under Advanced settings just let you keep SMS on but skip specific kinds.
