Creating a Scope of Appointment (SOA)

The Scope of Appointment tool lets you build, send, and track a beneficiary's SOA without ever leaving their profile. AdvantaCRM pre-fills the form from the data you already have, sends it to the client to sign, tracks every step along the way, and produces a finished, countersigned PDF you can save or pull up anytime.

This guide walks the whole lifecycle: creating the SOA, getting it signed, countersigning it, and viewing the completed PDF.


What the SOA tool does

  • Pre-fills the form from the client's profile and your agent settings, so you're not retyping names, phone numbers, or addresses.

  • Delivers it your way — email it for signature, print a prefilled copy, or open the signing page right on your device for an in-person signature.

  • Tracks every step with a timestamped activity timeline (created, sent, opened, signed).

  • Generates a finished PDF once both signatures are in place.


Step 1: Open the SOA section on a profile

Every SOA lives on a client's profile. Open the profile for the beneficiary you're working with, then find the Scope of Appointment section — you can also jump straight to it using the signature icon in the profile's side toolbar.

If this is the client's first SOA, you'll see an empty state inviting you to create one.

Click Create SOA to get started.


Step 2: Pre-fill the form

The Create Scope of Appointment window opens with most of the work already done for you. Review each section and adjust anything that needs it:

  • Agent Info — your Name, Phone, and NPN pull in automatically from your agent settings.

  • Beneficiary Information — the client's Name and Phone come straight from their profile.

  • Beneficiary Address — pulled from the profile as well.

  • Language & initial contact — choose the Language for the form and the Initial contact method (how you first reached this client).

  • What You Want to Discuss — check off each product type you plan to cover. All options are selected by default, so uncheck anything that doesn't apply.

Heads up: Whatever you check here defines the scope of the appointment. Only the products you or the consumer select can be discussed once the form is signed.


Step 3: Choose how to deliver it

Scroll down to set the appointment date and pick your delivery method.

  • Appointment Date (optional) — you can leave this blank for now and add it later when you countersign.

  • How do you want to deliver this SOA? — choose one:

    • Email — sends a signing link to the client's email on file.

    • SMScoming soon.

    • Print — generates a prefilled PDF the beneficiary signs in person.

    • Face-to-face — opens the signing page right on your current device, so the client can sign on the spot.

When everything looks right, click Send.


Step 4: The client signs

However you delivered it, the beneficiary lands on a clean signing page. They confirm the products to discuss, choose who they're signing as, and add their signature.

As soon as they sign, the SOA flows right back into their profile and updates automatically — no refresh needed.


Step 5: Countersign the SOA

Back on the profile, the new SOA now appears in the Scope of Appointment section. A signed-but-not-yet-finished form shows an Awaiting Your Signature badge.

Click Countersign to finish it. The countersign window lets you:

  • Confirm your agent name is correct.

  • Set the appointment date (if you didn't earlier — optional).

  • Choose the method of contact.

Save it, and the SOA's status flips to Completed.

Note: Signatures and the selected products can't be changed after the fact. If you need to fix the agent name, appointment date, or contact method later, use Edit from the menu on the record.


Step 6: View the completed SOA and its timeline

Expand any record to see its full activity timeline — every step is timestamped, from Created and Sent through Opened by Client and Client Signed, including the products selected and who signed.

Click View PDF to open the finished, fully signed Scope of Sales Appointment Confirmation Form, ready to save or share.


Editing an SOA

Need to tweak a detail after the fact? Open the menu on the record and choose Edit. You can update the agent name, appointment date, and method of contact — but signatures and the selected products are locked once signed.
