Understanding Profile Status: Leads, Prospects, and Clients

AdvantaCRM uses a single profile for everyone in your book, with a status that reflects where they are in your relationship. Understanding how status works — and how it ties to your Leads page — makes the rest of the app click into place.

Lead vs. Client at creation

When you create a profile, the Type you pick sets things in motion:

  • Choosing Client adds the profile to your book as an Active Client.

  • Choosing Lead creates the profile as a Prospect and automatically adds it to your Leads page, so it shows up in your pipeline right away.

So a "lead" isn't a separate kind of record — it's a profile with Prospect status that also appears on your Leads page.

The three statuses

Click the colored dot on a profile's avatar to change its Client status:

  • Active Client — someone you've written or are actively serving.

  • Prospect — a lead you're still working toward enrollment.

  • Inactive — someone no longer active in your book.

Changing status is logged automatically — you'll see entries like "Status changed to Active Client" in the profile's Recent activity.

Removing someone from Leads

When a prospect becomes a client, you can take them off your Leads page using Remove lead from the Actions menu.

What this does: Removing a lead only takes them off your Leads page — they remain a client and keep their profile. You can make them a lead again anytime from the same menu, so nothing is lost.

This keeps your Leads page focused on people you're still actively pursuing, while everyone stays in your book of business.
