The Meetings section records and transcribes your client conversations, then automatically generates a summary, key points, and action items — so you can stay present in the conversation instead of scribbling notes. Everything lives right on the client's profile.
Getting there
Open a client's profile and select the Meetings icon in the section rail to the left of the profile (it's the same icon as Meetings in the main sidebar).
The meeting list
Every meeting tied to this client shows up here as a card, grouped by date (for example, Today). Each card shows:
The meeting's title
A one-line preview of its AI-generated summary
The time, duration, number of speakers, and number of action items
A row of colored avatars for each speaker
A status pill — Ready means the transcript and summary have finished processing
The action-item count on the card (like "4 tasks") is just a preview — it's not clickable. You'll find the full list under the meeting's Summary.
Click any card to open the full meeting.
Adding a meeting
Click Record meeting in the top right of the section to open the recorder.
From here:
Name the meeting. It defaults to [Client name] — [Date], but you can edit it to anything you'd like.
Choose a microphone from the dropdown, and click Test mic to confirm it's picking up audio.
Confirm consent. Check Everyone present has consented to being recorded — AdvantaCRM asks you to ensure everyone being recorded has given consent.
Click Start recording.
While you're recording, you're free to keep browsing the profile or the rest of the CRM — the recorder stays active in a small floating panel until you stop it.
You can also upload an existing audio or video file of a meeting instead of recording it live in AdvantaCRM, and it'll go through the same transcription and summary process.
Reviewing a meeting
Opening a meeting card takes you to its full record, with a link back to the client's profile in the top right.
Summary
At the top of the meeting, AdvantaCRM gives you an AI-generated overview:
TL;DR — a short paragraph recapping the whole meeting
Key Points — the main things that were discussed
Action Items — follow-ups pulled directly from the conversation
Topics — quick tags summarizing what was covered
If something in the summary looks off, click Regenerate to have AdvantaCRM re-process it.
Transcript
Below the summary is the full Transcript — every line of the conversation, labeled by speaker and timestamped.
Use the Search transcript box to jump to a specific word or phrase instead of scrolling through the whole thing.
Fixing speaker names
AdvantaCRM labels speakers generically at first (A, B, C, and so on) since it doesn't know who's who. Click Fix speakers, then replace each placeholder letter with the person's real name — every line attributed to that speaker updates throughout the transcript at once.
