The Coverage section tracks a client's plans — current, pending, and past. It's where you see what they're enrolled in, what's still being processed, and what's replacing what.
Getting there
Open a client's profile and click the Coverage tab in the section rail to the left.
Two ways coverage gets added
Automatically from HealthSherpa. If you've set up the HealthSherpa webhook, enrollments sync into AdvantaCRM on their own — the pending policy is added to the client's Coverage with all of its details filled in, no manual entry needed. This is the fastest way to keep coverage accurate.
See [Connecting HealthSherpa] to set up the webhook. Once it's running, you may see policies appear here without lifting a finger.
Manually. You can always add a policy yourself — for non-HealthSherpa business or anything you want on file right away.
Adding coverage manually
Click Add (or Add Coverage) on the Coverage card.
Step 1 — Select a plan type: choose MAPD, PDP, or Med Supp.
Step 2 — Fill in the details: select the Company and Plan, then complete the policy fields — Status and Effective date are required, and you can also record the Application date, Billing method, Enrollment method, Book of business, and more.
Click Save Coverage when you're done. The policy appears on the card right away.
Reading a policy card
Each policy shows a quick summary at the top — carrier, plan name, status, effective date, and whether an HRA was collected — with a colored border that reflects its status (for example, amber for pending, green for active).
Expand a policy to see everything on file, including Plan type, Carrier, Plan name, Status, Application date, Effective date, Written as, Election period, Application ID, Member/Policy #, Replacing, Enrollment method, Book of business, and HRA collected. Use the ⋯ menu on a policy to edit or remove it.
Tracking replacements
When a client moves from one plan to another, you don't have to delete the old one. Mark the new policy as replacing the existing plan, and AdvantaCRM keeps both on the profile — the outgoing policy stays visible with a "Replacing on [date]" badge tied to the new plan's effective date.
This gives you a clear before-and-after at a glance — handy during AEP, when you can see exactly what's active today and what takes over on the effective date.
