The Notes & Activities Section

This section is the running record of your relationship with a client — the notes you jot down, every email/call/text exchanged, and a timeline of everything that's happened on their profile. Some of it you add by hand; a lot of it fills in automatically.

Getting there

Open a client's profile and click the Notes & Activities tab (the notepad icon) in the section rail to the left.

Notes

Notes are free-text reminders you write about a client — anything worth remembering that doesn't fit a specific field.

Click Add Note, type your note, and click Save Note.

Your notes stay on the profile and also show up in the Activity timeline, so you can always see when each one was added.

Conversations

The Conversations card is your communication history with the client, and it's mostly automatic. Emails you send through AdvantaCRM land here on their own, and if you have a VoIP phone connected (such as Dialpad), your calls and texts appear here too.

Use the tabs to filter — All, Emails, Calls, or Texts — each with a count. Every entry shows the date and time, direction (Outbound or Inbound), and status (Delivered, Opened, Sent, Received). Calls also show their duration, and where a recording exists, a link to play it.

Calls and texts need a connected VoIP phone. Emails show up on their own, but call and text history appears only once you've connected a phone service like Dialpad. You set that up in Settings → Integrations.

Activity

The Activity card is a complete, timestamped timeline of everything that's happened on the profile — and it shows who did it. Most entries are recorded automatically: a doctor added, a medication removed, an address changed, a status switched to Active Client, removed from Leads, and so on. It's your audit trail.

Filter the timeline with the All, Updates, and Notes tabs to focus on just the kind of events you care about.

Logging an activity yourself

For things that happen outside the CRM — a phone call, an in-person meeting — click Log to add them to the timeline. Choose a Type (like Call), write a Description, and optionally note an Outcome, then click Log activity.
