Security Settings

The Security page is where you manage your own account protections — your Secure Information PIN (used to view Medicare and Medicaid numbers on client profiles) and your two-factor authentication methods.

Getting there

From the settings page, choose Security from the settings menu.


Secure Information PIN

This is the same PIN that unlocks the Secure Information section on a client's profile. You can set it up ahead of time here instead of waiting until you're prompted on a profile.

If you haven't set a PIN yet:

  1. Under Choose a PIN, enter a 4-digit PIN.

  2. Confirm it by entering the same 4 digits again.

  3. Click Continue to save it.

Once your PIN is set, the card shows when it was last updated, along with two buttons:

  • Change PIN — walks you through the same choose-and-confirm steps to set a new PIN.

  • Lock all clients — immediately re-locks the Secure Information section on every client profile, even ones you've already unlocked. Handy if you're stepping away from your desk.


Two-Factor Authentication

Two-factor authentication (2FA) adds an optional extra step when signing in with email and password. It doesn't apply if you sign in with Google or Microsoft.

You can set up any combination of three methods:

  • Authenticator app — Google Authenticator, 1Password, and similar apps

  • Text message — receive a code by SMS

  • Email — receive a code at the email on your account

Setting up an authenticator app

  1. Click Set up next to Authenticator app.

  2. Scan the QR code with your authenticator app, or enter the secret key manually.

  3. Click Next.

  4. Enter the 6-digit code your app generates.

  5. Click Enable.

Setting up text message verification

  1. Click Set up next to Text message.

  2. Enter your mobile number and your account password to confirm it's you.

  3. Click Send code, then enter the code you receive to finish setup.

Setting up email verification

  1. Click Set up next to Email.

  2. Enter your account password to confirm it's you — the code goes to the email already on your account.

  3. Click Send code, then enter the code you receive to finish setup.

Managing enabled methods

Once a method is turned on, its row shows it as enabled. To turn one off, you'll be asked to enter a verification code first to confirm it's really you before it's disabled.


Signing in with 2FA

If you only have one method enabled, AdvantaCRM asks for that code every time you sign in with email and password. If you have more than one method enabled, you'll get to choose which one to use each time you sign in.
