This guide walks you through building a campaign your agents can install: naming it, setting the audience, adding the placeholders agents fill in, building the journey, and publishing it.
Before you start: Email steps use your agency's email templates. Create the emails you plan to send in Templates first. If an email has a button or link that should point somewhere agent-specific, set it up as a personalized destination while you build the email (see Personalized destinations below).
Step 1: Create the campaign
Go to Drip Campaigns in the agency sidebar and click New campaign.
Your campaign opens as a Draft. Changes save automatically as you work.
To name it, click the pencil icon next to the campaign name. In the Campaign details window, fill in:
Campaign name: what your agents will see on their Agency campaigns page.
Description: a short explanation of what the campaign is for and when to use it.
Click Save.
Tip: Agents decide whether to install based on the name and description, so be specific about what the campaign does and who it's for.
Step 2: Set the enrollment audience
The Enrollment audience is a set of report filters describing which clients should receive this campaign. When an agent installs, these filters run against their book, and the agent sees how many of their clients match.
To add a filter, set:
Filter by: the field to filter on, such as Individual: Status.
Match: how to compare it, such as IS.
Refine: the values to match, such as Active Client.
Use the Select... row underneath to add another filter, and the trash can icon to remove one.
Good to know: You can change these filters anytime. Agents who already installed keep the audience snapshot they enrolled with, so editing the filters won't change who is already enrolled.
Step 3: Add personalized destinations
Personalized destinations are the placeholders agents fill in with their own Intake Form or URL.
You create a placeholder in the email builder, not here. While building an email template, set a button URL, body link, or image click-through to a merge tag like {{resource:aep_intake_form}}. Any merge tag in that format appears in the Personalized destinations section automatically.
For each destination, set:
Label: the name agents see during install, such as Aep Intake Form. Make it clear enough that an agent knows what to pick.
Type: whether agents map this to an Intake Form or a URL.
Required: whether agents must fill this in to finish installing.
Good to know: The same link text on different emails can point to different places, so each email's link is set separately.
Step 4: Build the journey
The Journey is the set of emails, waits, and checks clients move through. Steps run from top to bottom, and each one starts when the step above it finishes.
Click + Add another step under any step to choose what happens next. When you're finished editing a step, click Done. To remove a step, click its trash can icon.
Start
The first card sets when the campaign begins:
When a client is enrolled: the journey begins as soon as the agent adds a client.
On a specific date: everyone starts on the same day. This is the one to use for AEP and other calendar windows. Agents who install before that date will see the campaign wait and start automatically; agents who install after it has passed start right away.
Send time sets the time of day emails go out. If the journey starts with an email and no wait before it, that first email sends right away, and the send time applies to the emails after it.
Send email
Pick one of your agency's emails from the Agency email template dropdown, then click Preview template to check it.
Wait
Pause the journey for a set number of days or weeks before the next step.
Check a condition
Split clients onto a Yes or No path based on what they've done, such as whether they completed the Intake Form from a particular email. Click a path to edit it, then add the steps that should run for those clients.
A condition checks once, at the moment a client reaches it, so put a Wait step before it to give clients time to act.
Add tag
Update the client's CRM tags at that point in the journey.
End campaign
Stop the journey at that point.
Step 5: Keep an eye on the summary
The summary bar above the journey updates as you build:
Starts: when the campaign begins and the send time.
Emails: the most emails a single client can receive.
Longest path: how long a client would be in the campaign if they stay on the longest path.
These same numbers appear on the agent's campaign card, so they know what they're signing up for.
Step 6: Publish
When the campaign is ready, click Review & activate.
Once it's published, the campaign appears on your agents' Agency campaigns page and they can install it.
Recommending a campaign
On the Drip Campaigns list, switch on the Recommended toggle for any campaign you want to promote. Recommended campaigns get a badge on the agent's list and a banner on their Drip Campaigns page.
This is optional. Published campaigns are available to agents whether or not they're recommended.
